Agent Visual Inspection Disclosure – AVID
When to complete the AVID [Agent Visual Inspection Disclosure].
Listing Agent and/or Selling Agent is required to do a conduct a reasonably competent and diligent visual inspection of the accessible areas of the Property. [RPA Paragraph 10.A.2.]
- Keller Williams requires the CAR AVID [Agent Visual Inspection Disclosure] form for every transaction.
- Agent should check box on TDS [Transfer Disclosure Statement page 3] indicating that an AVID will be provided.
- The CAR AVID form allows a Standard of Practice for all agents to fulfill this duty. The AVID starts from the front entry to the house and proceeds throughout the main level, bedrooms, baths and other rooms and then concludes with the outside of the home and other factors that might affect the desirability of the home.
- This requirement may be satisfied with completing the Agent Visual section on page 3 of the TDS ; however, it is better for an agent to use the CAR AVID form.
- Listing Agent is to complete LA AVID at the same time as Seller completes the TDS. [See RPA paragraph 10.A.2.]
- Selling Agent is to complete SA AVID as soon as possible. It is recommended to do the SA AVID when at the property during inspections.
Completing the AVID
- Clearly fill out the form. [Always type in Zip Forms.]
- Fill in Date/Time, Weather conditions, Other persons present.
- Note Agent inspection limitations [See AVID page 1]
- Fill in each section with no blank lines. If it doesn’t apply, write “N/A.”
- Include the actual name of people present.
- Makes notes for each room. If no apparent defects, write “Nothing noted.”
- Add other rooms as needed. [laundry room, family room, den, etc.]
- Note what you see and where you see it. For example, “outlet cover under Living Room window missing.”
- If the property has more than one unit, the Agent must compete a separate AVID for each unit and label each AVID for the unit is applies to.
- Always sign on page 3 under “Comments” and at the bottom of the page.
Be very careful how you make comments in the AVID.
- Never use words that state quality or lack of quality. For example: good, bad, o.k., fine, dirty, needs work, etc.
- Never use words that are subject to interpretation. For example: large, small, hairline, etc. A statement like, “large hole in wall” or “hairline crack” should never be used. Just say: “hole in wall” or “crack above window.”
- Don’t give advice. Don’t say: “Buyer is advised to conduct all inspections.”
- Do not state how you think the defect occurred. If you see a stain on the ceiling, just say “stain noted on ceiling.” Never say “stain on ceiling from roof leak.”
- Do not use the word “mold.” You are not a mold inspector.
- Do not use the investigations of others in your AVID. Don’t copy from other agent’s AVID or from reports by inspectors. Your AVID is your observations.
- Do not describe what needs to be done, describe the condition. For example, “house needs to be cleaned,” is your opinion.
